Selective sync does not delete data from the cloud. It only changes what you see in the local OneDrive folder. If you deselect a folder, it disappears from the computer (its copy remains in the cloud), and you can restore sync at any time.

  • You have a huge photo archive but only need current projects on your laptop.
  • You share OneDrive with a team and want to keep locally only the folders you actually work with.

  • Locally available – the file has been downloaded (e.g., after opening); it can still be automatically "slimmed down" when you free up space.
  • Always available on this device – the file or folder is permanently stored locally and will be available offline as well.

In OneDrive settings, find the option related to saving space and downloading files on use. After enabling it, OneDrive will show file statuses and allow managing availability with one click.

Choose only active project folders to sync, leaving the rest cloud-only. Within those projects, use Files On-Demand to download files only when you actually access them.

Sync more folders but mark as “always available” only what’s necessary outside the office. This reduces the risk of missing files at critical moments while avoiding carrying the entire archive.

Strategy 3: order and fast search

Maintain a simple folder structure (e.g., Projects / Year / Client) and avoid very long paths. OneDrive works better when it doesn’t have to track thousands of tiny files in dozens of nested folders.

Common problems and quick fixes

File won’t download or keeps "spinning" endlessly

  • Check your internet connection and whether you have transfer limits enabled.
  • Pause and resume sync in the OneDrive menu.
  • Log out and log back in to the OneDrive client (this often refreshes access tokens).

File conflicts after working on multiple devices

Usually caused by simultaneous editing of the same document. The rule helps: one person edits, others comment; or work in the web app with automatic co-authoring (which limits conflict copies).
